In the context of Cloudbooking services, we are considered the Processor of the data. Our client is the Controller and is responsible for determining why and how your personal data \u2014 including any geo-location data \u2014 is collected and used. The lawful basis for that processing is determined by our client, not by Cloudbooking. For information about how our client uses your data, and to exercise your data protection rights, please contact them in the first instance.<br>The Cloudbooking Data Protection statement has been reviewed and confirmed by our legal representatives to ensure we are adhering to our Data Protection obligations as a company.<br>We have reviewed our Data Protection responsibilities across the following key areas:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"has-black-color has-text-color has-link-color wp-elements-99e9ebc5913d064af65de1cf0781386f\">Client Data<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-5bc7234a10a5642ba22fb868c119e1ff\">Policy Review<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-63f995623857e71f2193e367f02a2bff\">Data Privacy Notice and User Rights<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-31c1b643840cfd19276bb3bf90db06e0\">Security<\/li>\n<\/ul>\n\n\n\n<p>In this statement \u201cProcessor\u201d and \u201cController\u201d have the meanings given to them in relevant UK legislation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"clientdata\"><strong>Client Data<\/strong><\/h2>\n\n\n\n<p>Cloudbooking is a Processor rather than a Controller for customer data that we hold. This means that we handle this data as instructed by the Controller of it.<br><br>We undertook an information audit review of the types of information we process, identified as follows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"has-black-color has-text-color has-link-color wp-elements-0302cf94d334667da01513addb8fbbc9\">Full name<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-17f3a8d872362dd9fffc5a78f3c89cb9\">Email address for login and optional booking notifications<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-fff5ad82201e5e68138df791a0f29246\">Cloudbooking password for service access only (encrypted)<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-fc6648c32af7ff4d2a25c259fb11b11c\">Phone number (mobile, optional) for booking notifications<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-62f14531399b772424b62d6a24b4d22f\">Location information when a booking is placed and historically<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-aad24373d9a951f903f87b04dcb4fa8f\">Car registration number (parking space management)<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-21c1bc54b3ac4c4f47fe8470f3359973\">Photo (Visitor Management System)<\/li>\n\n\n\n<li class=\"has-black-color has-text-color has-link-color wp-elements-2bc13287915d2cd89208fa12f08df986\">Geo-location data, including real-time GPS coordinates, movement history, and timestamps, generated by Authorised Users&#8217; mobile devices when using the Cloudbooking mobile application (where the geo-location feature is activated by the client)<\/li>\n<\/ul>\n\n\n\n<p>This information is stored in standard SQL databases, with one ring\u2011fenced database per client. In all cases, data is transmitted only over secure, encrypted connections using HTTPS.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Third\"><strong>Use of Third-Party Platforms for Data Analytics<\/strong><\/h2>\n\n\n\n<p>In our commitment to providing enhanced services and functionalities, we utilise data analytics dashboards powered by ThoughtSpot, a third\u2011party platform. This collaboration enables us to offer a more refined, data\u2011driven experience. It is important to note that while leveraging ThoughtSpot for these purposes, no user\u2011identifiable information is stored on their platform. Data used primarily includes identifiers that allow us to improve our services without compromising your privacy.<br>We have chosen ThoughtSpot for their robust security measures and their commitment to data protection, ensuring compliance with Data Protection and other relevant data protection regulations. ThoughtSpot rigorously adheres to internationally recognised security standards, including ISO 27001, HIPAA, SOC 1, and CCPA. Cloudbooking\u2019s use of ThoughtSpot, and any associated data\u2011processing activities, are carried out with the utmost consideration for your privacy and data security. For more details on how we manage and protect your data, please refer to our comprehensive Privacy Policy.<br>All data processed is stored securely in UK\u2011based data centres conforming to strict international standards.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Policy\"><strong>Policy Review<\/strong><\/h2>\n\n\n\n<p>Cloudbooking has undertaken a comprehensive review of all our company policies, with a particular focus on data collection and our Privacy Policy. Copies of relevant policies are available on request.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Privacy\"><strong>Data Privacy Notice and User Rights<\/strong><\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-data-privacy-notice\"><strong>Data Privacy Notice<\/strong><\/h3>\n\n\n\n<p>A truncated Data Privacy Notice will be displayed on all Cloudbooking online services, with a link to the full version.<br>The complete Data Privacy Notice is as follows:<br>\u201cCloudbooking Limited processes your information on behalf of your parent company for the sole purpose of delivering our Cloudbooking services. This includes only your name, email address, and optionally your phone number and\/or photo (if applicable). This information is tied to any bookings that have been made by yourself or on your behalf, which effectively logs your possible location at the time the booking is live and therefore historically. Your data is not sold or otherwise disclosed to third parties for their own purposes. We do share data with carefully selected sub-processors who assist us in delivering the service (for example, our data analytics provider and our hosting provider). A list of our current sub-processors is available on request. The information is held until such time as it is no longer required for the provision of the service. Following removal of the service, all data is anonymised for statistical purposes only. Should you require access to the information held about you, or if you have any concerns about the data we hold, please contact your parent company in the first instance.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-user-requests-for-information-right-to-delete\"><strong>User Requests for Information \/ Right to Delete<\/strong><\/h3>\n\n\n\n<p>Whilst we do not expect a high volume of information requests, it is important for Cloudbooking to have the correct procedures in place.<br>Requests from individual users for data will be managed on a case\u2011by\u2011case basis and will initially be directed back to the Controller\/client. Cloudbooking will then liaise with the Controller\/client to process the request to delete or provide any data held by Cloudbooking. This data can be provided in an encrypted file via email or through other suitably encrypted methods required by the Controller\/client to provide to the user.<br>Cloudbooking has implemented internal operational procedures to ensure we can deliver requested data within the stipulated thirty\u2011day Data Protection timeframe.<br>An official request form will be sent to clients or users on request, from which we will log requirements, track progress, and ensure secure delivery within thirty days.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"Security\"><strong>Security<\/strong><\/h2>\n\n\n\n<p>All client data is ring\u2011fenced in separate databases with security controls in place to ensure that only data users or clients have permission to access can be viewed. All access is based on least\u2011privilege rights, whether this applies to individual users or Cloudbooking administrators and support personnel. All data is encrypted in transit and at rest.<br>All data is securely stored in UK\u2011based data centres conforming to strict international standards.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-data-breaches\"><strong>Data Breaches<\/strong><\/h3>\n\n\n\n<p>Cloudbooking takes data security extremely seriously. We have systems and procedures in place to mitigate any possibility of a data breach occurring.
