How to book via Google Calendar

It is possible to book rooms that are available on Cloudbooking via the Google calendar removing the need to log into the portal separately.

Making a booking via Google Calendar

Go to your Google calendar

Click on Create and select Event from the drop down menu

Add the title of your booking then select the date and time by click on the time and date as shown below:

You can select time and date, whether you need an all day booking, time zone and whether you wish your booking to be a one off or a repeat booking.

Once you have selected the correct date and time you can add guests and any other information as appropriate. Then select Add room or location

Then select Add Rooms

Select a room from those listed or click on Search for room or resource and start typing the name of the room you wish to book.

It is also possible to search for available rooms only or to include unavailable rooms using the drop down.

Hovering over the listed rooms will give you a brief description of the room.

Select the room/rooms you would like to add them to your booking. When you have made your selection, click the back arrow at the top of the window to return to your event booking screen.

The selected room(s) will be removed from this list and added to your event as follows:

If you wish to check the availability of the room matches your chosen time select Find a time at the top of the event. Your calendar will appear as well as those of your selected guests and the rooms that you have selected.

To remove a room from the booking, you can simply hover over it and click on the X that appears or if you wish to add or change rooms, select Add or change rooms to make amendments, this will return you to the list of rooms.

When you have selected the room or rooms you wish to book for your event, click Save.

If the room is unavailable, you will receive an email notification that the room has declined the meeting otherwise the meeting will be booked.

The booking will appear in your Google calendar and the calendar(s) for the selected room(s).

Editing a booking

Open the booking in your Google calendar.

Select the pencil icon to edit

The following window will open:

Make your changes as required and click Save.

You will receive a pop up notification that your event has been saved and the Google calendar will be updated.

Cancelling a booking

Select the booking in your Google calendar.

Select the Bin icon and the event will be deleted

You will receive a pop up notification and the event will be removed from the Google calendar.

If you have mistakenly deleted your event, click Undo and the event will be restored.

Making a repeat booking

Create an event and select the date and time field.

Select the Drop-down next to Does not repeat

You can then select from the options in the drop-down or select Custom to create your own repeat pattern. The window shown below will open.

Make your selections and click Done.

Your repeat pattern will now appear in the details of the event. If any of the occurrences conflict with appointments on the room calendar, you will receive an email notification that your request has been declined, enabling you to rebook a different available timeslot or a different room from the list.

Complete the booking by inputting all the other details, title, guests, room(s) etc and complete by selecting Save.

Editing a repeat booking

Select the booking you wish to edit in your calendar and select the pencil icon.

Make your changes and select Save.

A pop up will then appear for Edit recurring event asking you to select the choice of which event you wish to edit, This event, This and following events or All events. Make your selection and click OK.

Your meeting will then be updated and you will receive a confirmation message on your calendar.

Cancelling a repeat booking

Select the meeting in your Google calendar and select the bin icon to delete, the menu will give you the option to either cancel the occurrence or the series.

If you select This event, all others will remain in the calendar.

This and all following events will leave any events prior to the one selected for deletion in the calendar.

Selecting All events will remove all events from the calendar.

You will receive a pop up notification that your event has been deleted and the option to undo if necessary.
