The Challenge

In June of this year, we saw the live deployment of Cloudbooking’s workspace management systems there. It was necessary to implement a COVID secure system to reduce risk and enable employees to return to a safe office environment. Cloudbooking provided RoS with advanced user design features which included Azure SSO for mobile and portal as well as Azure SCIM set-up.

When the pandemic hit, like many other organizations, RoS were forced to leverage technology and adapt to a remote working environment at home, quickly pivoting from a primarily office and paper-based one to an almost fully remote, digital-based one.
Lockdown required a strong focus on employee health and well-being. It was important for RoS to survey their employees and gain feedback on their working from home experience to provide more insight into employee well-being and preferred working practices. RoS colleagues completed a ‘Return to Workplace’ survey and 75% of colleagues expressed that they would prefer to operate a hybrid working model.
RoS have listened to their employees and are now taking a flexible approach to working practices. This includes the adoption of a hybrid workplace, which will ultimately allow employees to split their working week between home and office space. Cloudbooking’s desk booking system will help to facilitate the smooth transition to a hybrid workplace once offices fully re-open post-COVID and a phased return to work strategy begins. The desk booking is currently deployed across 5 floors for 180 desks which are all socially distanced to reduce employees’ health and safety risks.

Effectively Managing Car Parking Spaces
RoS also required Cloudbooking’s car park management system to create flexible and dynamic car parking at Meadowbank House. Car park management software was deployed for 135 spaces, 4 electric spaces and 5 disabled spaces. RoS have now been able to realign their car park, numbering each car parking space and enabling restricted access as required.
Making a Great First Impression with Integrated Visitor Management Solutions
RoS are now in the process of upgrading from a traditional reception and customer service desk system to Cloudbooking’s secure visitor management system. With our software, RoS are able to manage and monitor guest visits with ease.
To mitigate risk and prevent the spread of COVID, the health assentation feature has been added to the system. This additional feature asks visitors to complete a health questionnaire before their arrival to the site. If they do not pass the health screening questions, the organization will be notified, and the visitor will be able to reorganize their visit for another time. This feature ensures that the workplace stays protected and employees’ health and well-being is managed effectively.
